Obtaining incorporated associations public records
Access the Register of Incorporated Associations to inspect or obtain copies of certain documents relating to incorporated associations in NSW.
NSW Fair Trading, under the Associations Incorporation Act 2009 (the Act), is required to maintain the Register of Incorporated Associations.
Members of the public can inspect or obtain copies of documents lodged on the Register under the Act, following payment of the prescribed fee.
Obtaining an extract
If you are unsure of what documents are available, you can complete the search request form and obtain an extract.
An extract lists the:
- registration number
- current status
- current and previous names of the incorporated association
- current and previous names of the public officers
- all documents lodged on the Register.
How to lodge a search request form
Copies of documents lodged can be obtained by completing the incorporated associations search request form. Check that an entity is registered as an incorporated association using the NSW incorporated associations online register.
Payment for a copy of a constitution or extract is required when submitting the search request form.
For all other documents, payment of an inspection fee is required when the search request form is submitted. If the requested document(s) are available this fee will be deducted from the total cost of the document(s) to be provided. This fee is not refundable and there is no obligation to proceed with the search request after paying the inspection fee.

What happens after you lodge an application
Available documents will be provided by email:
- within 3 to 5 working days if the incorporated association was registered after 2003, or
- within 5 to 10 working days if the incorporated association was registered before 2003.
You will be advised if the requested documents are unavailable.
Once payment is received, the search results will be forwarded to you by email.
Search the online register
An online register of NSW incorporated associations is available by visiting the NSW incorporated associations online register.
It provides key information about incorporated associations registered in NSW, including an entity’s incorporation:
- name and number
- date of incorporation
- registration status.
Privacy and personal information
Personal details provided on documents lodged by incorporated associations may be provided to the public by way of a search of the Register, for which fees apply.
Section 10 of the Privacy and Personal Information Protection Act 1998 requires that NSW Fair Trading ensures that individuals are aware that their personal information contained on the Register may be made available to the public.
All information collected by NSW Fair Trading is for lawful purposes and in accordance with the appropriate legislation.
The Privacy Act also allows NSW Fair Trading to withdraw personal information from the Register available for public inspection when an individual can demonstrate that their safety or well-being may be affected.
