Using work management software integrated with BCNSW eCert
How the software integration works
Some business software systems for the electrical industry have been integrated with the BCNSW eCert portal via an API integration.
This means the electricians in these businesses can create Certificate of Compliance for Electrical Work (CCEWs) using their normal software systems and submit it securely straight to Building Commission NSW, in accordance with compliance requirements.
This guide explains what happens when a CCEW is submitted through a software system that has been integrated with the BCNSW eCert portal. It also provides guidance on situations when you may still need to log into the BCNSW eCert portal directly.
Can your business software system submit CCEWs?
If you’re not sure whether your workplace’s software can be used to submit CCEWs, contact your software provider or your organisation's IT team. They can confirm if integration with the BCNSW eCert portal is available or can be developed.
API integration is optional. It depends on the software provider or business meeting eligibility requirements and completing the required set up and configuration.
What happens when using business software to submit a CCEW?
When you use a business or software system integrated with the BCNSW eCert API to submit a CCEW:
- You complete the required testing for the electrical work.
- You provide the required CCEW information through the integrated business or software system.
- The business or system submits the information to BCNSW eCert on your behalf.
- BCNSW eCert checks the submitted information, including licence verification.
- If the submission is accepted, the certificate is generated and stored in the BCNSW eCert portal.
- Copies of the certificate are sent to relevant parties.
Your responsibilities
A business or software system may submit a CCEW on your behalf, but you remain legally responsible for the CCEW.
This includes making sure the information submitted under your licence is accurate and complete.
For information about your legal obligations when carrying out electrical work, see Electrical compliance requirements.
Where your CCEWs are stored
The BCNSW eCert portal remains the system of record for all CCEWs. Certificates issued under your licence are stored in the portal and can be accessed at any time.
Who receives certificate emails?
When a certificate is generated, emails are sent automatically.
You will receive a copy at either:
- the email address registered to your BCNSW eCert account, or
- the email address included in the submission.
If these email addresses are different, the portal will only send the certificate and other system notifications to the email address registered to your BCNSW eCert account.
Copies may also be sent to:
- your employer or work provider (if their email address is included)
- the customer (if their email address is included)
- the electricity distributor (where applicable for the work type)
View and download your certificates
Certificates submitted on your behalf are stored in the BCNSW eCert portal.
If you are registered for BCNSW eCert
You can:
- log in to view and download your certificates
- receive certificate copies at your registered email address.
If you are not registered for BCNSW eCert
Your certificates are still stored in the BCNSW eCert portal.
You can:
- register for BCNSW eCert to access your certificates
- receive certificate copies at the email address included in the submission.
When rectification work is required
Rectification CCEWs cannot be submitted on your behalf through an integrated business or software system.
If rectification work is required, you must submit the certificate directly in the BCNSW eCert portal.
Getting help with certificate or submission issues
Contact the business or software provider first if there is a problem with a certificate or submission made on your behalf, including when:
- the certificate is missing required information
- the certificate contains an error
- there are delays or repeated errors
- you are not receiving updates about the submission.
Contact Building Commission NSW if the issue affects your compliance obligations.
How your information is handled
When a business or software system submits information on your behalf, that business or provider is responsible for:
- collecting your information lawfully
- getting your consent, where required
- protecting information held in their systems
- meeting their privacy obligations.
You should confirm how your information will be handled and review any privacy notices provided by the business or provider.
Once your information is submitted to Building Commission NSW, it is handled in line with the BCNSW eCert Privacy Collection Notice.
