Video
Video can play an important part to engage your audience with your content. The video content should be accessible to all the audience including people with disability.
Using videos
Do
- Use high-quality video that is clear and easy to see.
- Only include a video if it is relevant to the page and will help the audience understand the information or to complete a task.
- Ensure your video has closed captions.
- Do provide a transcript of the video.
- Make sure you have the necessary permissions and rights to use any video content.
Don't
- Ensure your video is not set to auto-play as this can be annoying or distracting for the audience. Let the audience choose if they wish to play the video.
- Don't use too many videos on a page as this can slow down the page loading and make it difficult for the audience to find the information they need.
- Don't use videos that are too long as they may cause the audience to lose interest quickly.
- Don't use videos without the necessary permissions.
How to upload a video
Once your video has been prepared to meet accessibility requirements and you have the video transcript, you can upload the video to the media library.
- Go to Content > Media > Add media > Remote video.
- Add New title (mandatory) – enter the title of the video. The title of the video will show in a grey box underneath the video.
- Enter a short Description (recommended) of the video. The description will show under the title.
- Please ensure you always use a video title and description. If you do not use a video title and description, the grey box will still show under the video, but it will just be blank.
- Enter the Video URL (mandatory) – only remotely hosted video from YouTube or Vimeo can be uploaded.
- Custom thumbnail (optional) – you can customise the image that displays on the video before play. The thumbnail displays behind the video play button. Save your thumbnail to your personal drive and then select Choose File. Thumbnails are not available from the media library.
- Agency (mandatory) – search for your agency/department.
- Editorial group (mandatory) – the group responsible for the video.
- Enter the video Transcript. The video transcript will show on the page as a hyperlink with the label – Read transcript – underneath the title and description in the grey box. Clicking the label will display the transcript in a separate pop-up window.
- Note that the Duration of the video is automatically calculated by the CMS once you save your video.
- Save. Your video is now available to be added to your page.
Insert a video in the WYSIWYG
1. In a WYSIWYG content block you can click the Insert Media using the button in your WYSIWYG toolbar.
2. Select remote video.
When inserting videos to your page you are selecting from existing videos in the media library.
It is best practice to upload your video via the Media page to ensure it’s tagged correctly.
3. Search for the video by Name (which is the Title you gave the image when you uploaded it) and Apply filters.
4. When you have found your video, check the box on the image and click Insert Selected button.
5. Once the video is displayed in the WYSIWYG, you have the option to align your video – Edit media.
- Align your video – None, Left, Centre or Right.
- The default alignment is Centre as the video should size automatically to the size of the block.
6. Save your page to check the display of the video.

Create a video gallery using Media list
- The Media list component allows you to create a video gallery if you have a series of videos that need to be grouped together.
- The gallery displays as a vertical listing with the video thumbnail to the left and the title and description to the right.
- The audience can click on a video to make it display in a light box. From here, the audience can scroll through all the videos, read the descriptions, and close the gallery at anytime to return to the page.
- It is important that you include a title and description to your videos in the media library for this component to display correctly.
- From drop down Add Media list.
- Add a Heading (optional).
- Add a Description for your video gallery (optional).
- Type = Video carousel.
- Click Add media
- Select your videos one at a time from the media library, or
- select multiple videos at the same time.
- Once you have selected your videos, click the Insert selected button.
- The videos are now added to the gallery on your page where you can remove an image or add another image. You can also reorder the videos by dragging and dropping them to the position you require.
- Save to display your gallery.
- Click on each video to check how it displays in the light box.
- Scroll through the gallery and review the content – videos and descriptions – to check it will make sense to the audience.
