Automated publications

Create a stylised listing of the latest resource publications that auto-populates on landing pages with the Automated publications component. Use the component to promote a publication with an image and summary, list others and link to more publications.

Before you start

Automated publications can only be added to landing pages, not standard pages.

Check the Tags that have been applied to the resource publications that you want to display in your Automated publications component. If there are fewer than 3 resources that include the tags you have selected, the Automated publications component won't display. Although it is best to have 5 or more.

The Automated publications layout is designed for an image on the leading or newest resource publication. To have an image display, you'll need to have a media item attached to your resource publication. See how to add media to your resource


Using Automated publications

Do

  • Use Automated publications as a visual feature on landing pages.
  • Continue to monitor that the correct resource publications are being populated over time.
  • Use appropriate images in your resource publication that will feature in the Automated publications component. 

Don't 

  • Feature publications in an Automated publications component if your publications are not of high importance. Consider using a Block / WYSIWYG with linked text, bullet points or buttons or on standard pages a dialog

How to add Automated publications to your landing page

Go to:

  1. The Layout screen and click Add block.
  2. Select + Create custom block and click on Automated publications and the Configure block screen will open.
  3. An H2 heading will automatically be added to the top of the publications that says: Recent (tag) publications. The text for the tag will come from the next step. You can turn this heading off by ticking the Hide automated title checkbox, however it is still recommended to have heading above the Automated publications. You can create a heading with a Block / WYSIWYG or Headings component. 
  4. Select how you want your publications to be filtered. When you start typing in 1 of the fields, a dropdown of options will appear for you to select from. You can choose 1 or multiple options to filter by. If adding more than one, see Adding multiple filters

    The filter options come from the Tag fields in the resource template. How you have tagged your individual resource publications will provide the tags that are available for you to use in the Automated publications component.

    If you are unsure about resource tags see how to create a resource. In the resource template only Topic and Agency are mandatory tags, which means that there may not be as many resource publications with the other tags applied. 

    Filter options include:  

    • Topic
    • Agency 
    • Audience 
    • Category
    • Industry
    • Region.
  5. After you have selected how you want your publications to be filtered, scroll down to add the Link text. This will be on the call to action (CTA) link that takes users to other resource publications. An example of CTA link text could be: See all media publications from the Premier's Department. 
  6. In the Type dropdown choose the type of link:
    • Content – for links to other pages on this site.
    • Managed Link – for web pages on other websites.
    • Media – to link to a media item on this site, for example an informational PDF. 
  7. In the Link field add the link of where users will go for further news information.
  8. Click the Update button.

Adding multiple filters

Multiple filters selected in the same filter category

You can add multiple items within a single filter category, for example the Topic field. There are 5 empty fields below each filter heading. If you are adding multiple filters within the same field then resource publications with either tag will display.  

For example, if in the Topic field you select Agriculture in the first field and Aged care in the second field, news will be displayed for both topics. If there are 100 articles tagged with Agriculture and 50 articles tagged with Aged care then your Automated publications will show the 5 most recent stories from 150 articles. 

Multiple filters selected in different filter categories

If you add multiple filters in different filter categories, for example the Agency and the Topic filter categories, then only news items that are tagged with both tags will appear. Resource publications tagged with only one category will not display. 

For example, if you select the Agency as Transport for NSW and the Topic as Driving, boating and transport, the Automated publications will display the 5 most recent news articles from the many articles related to both Transport for NSW and Driving, boating and transport.

If there are 100 articles with the Agency as Transport for NSW, 50 articles with the Topic as Driving, boating and transport, and 20 articles tagged with both the Agency as Transport for NSW and the Topic as Driving, boating and transport the Automated latest news will only show the 5 most recent articles from the 20 articles tagged with both. 

If, for example, you select the Agency as Health and the Topic as Driving, Boating and Transport, and there is only 1 item that relates to both, nothing will appear. There must be at least 3 publications tagged with both for the Automated publications component to appear at all.

Same category variation

The following Topics have been selected:

  • Community Services
  • Arts and culture
  • Bushfires
  • Aged care
  • Driving, boating and transport

As the tags are all within the same Topic category, the latest publications will be shown from the 5 different categories.


Different categories variation

The following Topics have been selected:

  • Community Services
  • Arts and culture
  • Bushfires
  • Aged care
  • Driving, boating and transport

Transport for NSW has been selected as the Agency.

With the Agency selected as Transport for NSW, it is unlikely that much, if any, content from the first 4 Topics will display. 


If your Automated publications isn't displaying

The Automated publications component won't display if there are fewer than 3 resource publications that include the tags you have selected. Although it is best to have more than 5. 

Check the filters of your Automated publications component

You should check the filters (Topic, Agency, Audience, Category, Industry and Region) that you have applied in the Automated latest news component. It may be too restrictive and there aren't enough resource publications that have those tags applied.

Check the tags of your resource publications

You should check that your resource publications have been correctly tagged.

There are many similar tags, for example, the agencies NSW Digital or NSW Government Digital Channels.

Tags could also have been entered under the wrong tag type, for example Health is both a Category tag and a Topic tag.
